 African Writers Trust requires the services of a dedicated, innovative and experienced Workshop Administrator who will be responsible for organizing the African Writers Trust training and mentoring workshop, which falls under the Publishing Fellowship programme. The workshop is scheduled to take place   from 1st to 10th November, 2018 in Kampala, Uganda. This is a fixed term contract lasting three months.

About African Writers Trust (AWT)

Established in 2009, African Writers Trust is a body that aims to bridge the divide between African writers and publishing professionals living in the diaspora and on the continent, bringing them together in order to promote synergies and to foster knowledge and learning between the two groups.

AWT’s mission is to build and sustain a strong supportive network of African Writers in Africa and the Diaspora. The organisation is based in Kampala, Uganda.

 

About the Publishing Fellowship programme (PFP)

The Publishing Fellowship programme is aimed at equipping early career publishers and creative writers who are looking to self-publish their works, with the skills they require to develop their works to high, publishable standards. The programme’s focus is to facilitate the sharing of knowledge, expertise, experiences and collaborative learning between the more experienced publishers and early career and emerging ones.

Duties and Responsibilities

The post holder will work closely with the AWT Director and other staff to organise and implement pre, during and post workshop activities. The broad responsibilities of the Workshop Administrator will include:

A: PRE-WORKSHOP ACTIVITIES

  1. Liaise with the Director to create a workshop organisation plan with key activities and deadlines for actions
  2. Ensure smooth and timely communication with the workshop participants
  3. Manage participants’ offline and online queries about the workshop
  4. Manage workshop participants international travel and book, confirm and purchase their air tickets
  5. Coordinate and ensure international participants’ pick-ups and drop-offs
  6. Identify, confirm and arrange payment for a suitable workshop venue
  7. Prepare workshop materials as required

B:  WORKSHOP ACTIVITIES

  1. Prepare and oversee any payments due to participants including per diems and refunds due
  2. Ensure timely and accurate payment of workshop-related costs, including hotel, vehicle rental and other service providers
  3. Coordinate inland transportation to other workshop-related venues
  4. Assist with the supervision of photography and videography

C: POST-WORKSHOP ACTIVITIES

  1. Assist with producing the workshop report and newsletter.

D: OTHERS

  1. Any such other duties as may be reasonably required by the African Writers Trust regarding the duties and responsibilities of this role.

 

 

E: QUALIFICATIONS

  • A minimum of a Bachelor’s degree
  • Minimum of two years administrative support experience
  • Proficiency in MS Word, MS Excel
  • Knowledge of operating standard office equipment

 

F: Person Specification

 

  • Prior experience coordinating events and/or, conferences and workshops
  • Interest in literature, reading and writing
  • Excellent and proven organisational skills and attention to detail
  • Experience and proficiency with Microsoft products
  • Experience preparing, managing and monitoring budgets
  • Effective oral and written communication skills
  • Strong interpersonal skills and demonstrated ability to interact with a range of stakeholders
  • Ability to work under tight and competing deadlines and handle multiple tasks
  • Proven negotiation skills
  • Adept at using and managing social media platforms e.g. Twitter, Facebook, Instagram, etc.
  • Competencies in desktop publications skills, graphic production and design skills
